Huddle is a small, free tool for running a ward's weekly coordination meeting. These terms say what you can expect from it, and what it expects from you — most of which comes down to being careful with names that are not yours.
Huddle is operated independently. It is not a product of, endorsed by, or affiliated with The Church of Jesus Christ of Latter-day Saints, and it does not connect to any official Church system. Using it is voluntary and is not a calling requirement.
Who may use Huddle
Huddle is for adults serving in a ward or stake calling who have been invited into a ward by someone already there. You need an email address you control, because signing in means receiving a code at that address.
Do not share your account. Access is granted to a person in a calling, not to a position that gets handed on — when someone is released, the next person gets their own access rather than inheriting an account.
What you are responsible for
Almost everything in Huddle is information about somebody else. That is the whole reason for the rules below, and the reason they are not negotiable.
By entering information, you confirm that
- You have a legitimate reason in your calling to be coordinating help for that person
- You are entering only what the meeting needs to act on — a name, a commitment, a date, a next step
- You are leaving out what belongs in a conversation: circumstances, confidences, anything shared with you in confidence or in an ecclesiastical setting
Huddle is deliberately built so that it cannot become a case file. Please do not work around that. If something feels too sensitive to type, that instinct is right.
Sharing outward is one-way
Huddle can share a workbook with full-time missionaries and can send items by text message. Both take information outside Huddle, where its protections no longer reach — a Google Sheet can be read by whoever holds the link, a text message by whoever holds the phone, and both survive a transfer.
Huddle narrows what may cross, and never sends notes, the meeting's read on a family, or outreach history — see the Privacy page for exactly what is permitted. But the decision to share at all is yours, and once information has left, revoking access does not unsend it.
Acceptable use
- Use Huddle only for coordinating the work of your own ward or stake
- Do not try to reach data belonging to another ward, or to any account that is not yours
- Do not export, scrape, or bulk-copy information about people out of Huddle for any other purpose
- Do not use Huddle to store membership records, or as a substitute for them
Availability
Huddle is provided free and is maintained by one person. It may change, break, go down for a while, or be discontinued. Features can be added or removed. If it is going to shut down permanently, reasonable notice will be given so a ward can get anything it needs out first — but do not treat Huddle as the only copy of something you cannot lose.
Ending access
Your access ends automatically when your calling ends — membership records carry an end date and nobody has to remember to remove you. You can also stop using Huddle at any time and ask for your account to be deleted. Access may be withdrawn if these terms are being ignored, particularly the parts about other people's information.
No warranty
Huddle is provided as is, without warranty of any kind. It is not guaranteed to be available, accurate, or free of errors, and it is not a system of record for anything official.
Limitation of liability
To the fullest extent the law allows, the operator of Huddle is not liable for indirect or consequential loss arising from its use, including loss of data or information disclosed by a sharing decision made through it.
Changes
These terms may change. The date at the top changes with them, and continuing to use Huddle after that means the new terms apply.
